What Manual Fee Billing Really Costs a School: A Worked Example

A fee register costs almost nothing to buy, so manual billing looks free. The cost is in the people, delays and mistakes around it. This article walks through a hypothetical school so you can run the same calculation with your own numbers. The figures are examples, not results from a real school.

The Example School

• 600 students and about 520 fee-paying families
• Monthly fees plus transport for some families
• Two staff members handle billing and receipts

Cost 1: Staff Time

Suppose preparing invoices, writing receipts, updating registers and reconciling at month end takes 60 staff hours a month. At an assumed NPR 350 an hour that is NPR 21,000 a month, or NPR 252,000 a year, spent on repetitive work. Automation will not remove all of it, but bulk invoice generation and automatic receipts target exactly these tasks.

Cost 2: Late Payments

If reminders are sent only when someone remembers, dues drift. Suppose the school has NPR 600,000 outstanding past due at an average month end. Even if better reminders collected a modest share of that sooner, the school gains cash flow it can use. Measure your own overdue balance, not an industry guess.

Cost 3: Errors and Disputes

A wrong discount, a missed sibling concession or a receipt that does not match the register each takes staff time and parent goodwill to fix. Count how many fee disputes you resolve per term and how long each takes.

Cost 4: Reporting Delay

If management waits days for a collection report, decisions wait too. The cost is hard to price, but easy to observe: how long does it take you to answer "how much did we collect this month and from whom?"
