Schools often buy an ERP because it "feels" like the right thing, then cannot say afterwards whether it helped. Measure six things before the switch and again after one full term. That gives you your own case study, based on your own numbers.

The Six Measurements

  1. Days to generate and send monthly fee invoices. Count from the start of the billing task until every family has an invoice.
  2. Overdue balance at month end. Total unpaid fees past their due date, and how many families that represents.
  3. Time to produce a collection report for management. From asking for the report to receiving a number you trust.
  4. Days from last exam to published results. Include the time spent chasing missing marks.
  5. Time to answer "how many students were absent this week?" A simple question that shows how well attendance is recorded.
  6. Staff hours on repetitive administration. Estimate hours per month on re-typing, reconciling and printing.

If a fee clerk's time is worth NPR 400 an hour in this example, 20 saved hours is NPR 8,000 a month. Multiply by 12 and compare with the annual cost of the software. That is a simple ROI calculation, and every input is yours.

What Else Counts

  • Fewer disputes: a single record for each family reduces "your register says one thing, ours says another".
  • Better decisions: management sees dues and attendance trends while they can still act on them.
  • Staff morale: less copying, fewer corrections.

How to Run the Measurement

  1. Record the "before" numbers in the month before go-live.
  2. Run old and new processes side by side for one cycle.
  3. Re-measure after a full term, not after the first week, when staff are still learning.
  4. Write down what changed and what did not. That honest note is your best internal case for expansion.
