Inventory
Stock Count Mismatch After Sale
Problem: The inventory count for a product doesn’t match what was actually sold or received.
Possible Causes
A stock transfer between stores is still in transit (not yet received).
A sale was made using the wrong product variant (e.g., size/color).
Manual stock adjustment was made without a reason code, making it hard to trace.
Two staff members edited the same product’s stock at the same time.
Solution
Check Inventory → Transfers for any transfer still marked "In Transit".
Open the product and review Inventory → Stock Ledger for a full history of changes.
Verify the sale used the correct variant by checking the receipt line items.
If genuinely wrong, create a manual adjustment with a clear reason code rather than editing the count directly.
Error Message | Resolution |
|---|---|
Negative stock showing | Check for a sale that went through before a stock receipt was recorded; adjust once confirmed. |
Transfer stuck "In Transit" | Ask the receiving store to confirm receipt in Inventory → Transfers → Receive. |
Tip: Always use a reason code when adjusting stock manually — it’s the fastest way to trace a mismatch later.
Frequently Asked Questions
Can I just edit the stock number directly?
You can, but it’s better to use Inventory → Adjustment with a reason code so the change is tracked in the stock ledger.
