Moving from Excel to School ERP in Nepal: Implementation and Data Migration Checklist

Switching systems mid-year feels risky, so many schools wait for a perfect moment that never arrives. A phased plan lowers the risk considerably.

Phase 1: Prepare (2 to 4 weeks before)

1. Name one project owner, usually the principal's deputy or head of administration.
2. List the modules you will start with. Fees and student records are common first steps.
3. Collect current student, guardian and staff data into clean spreadsheets.
4. Agree class, section and fee-head names so they are consistent.

Phase 2: Clean the Data

• Remove duplicates and test records.
• Fix spelling, date formats and missing contact numbers.
• Confirm each student has the right class and roll number.
• Reconcile current dues per student so opening balances are trusted.

Phase 3: Import and Check

Import a small class first and compare the result with the source. Only after counts, names and balances match should you import the rest. Our team assists with importing student, staff and fee records during onboarding.

Phase 4: Train

1. Train the accounts and administration staff first.
2. Train teachers on only what they use daily: attendance and marks.
3. Give each role a one-page guide.

Phase 5: Go Live Gradually

Run the new system alongside the old for one billing cycle. Compare totals weekly. Retire the old process only when the numbers agree.

Common Mistakes

• Importing dirty data and hoping the software will fix it.
• Training everyone on everything in one session.
• Switching accounting and fees at the same time with no overlap.
• Having no owner for questions after launch.

After Launch

Hold a short review at two weeks and again at the end of the term. Collect staff feedback, fix configuration issues, and then add the next module.
